Event Coordinator – Volunteers:

An excellent opportunity to join the Sport Wellington Events team who look after the management of Cigna Round the Bays 2018.

This role is responsible for the coordination and management of all aspects of the volunteer recruitment and delivery programme for Cigna Round the Bays 2018.

Key Tasks

Assist the Event Director and Events team in all aspects of Volunteer management including:
• Updating job descriptions for the many and varied volunteer roles required.
• Collating volunteer application forms.
• Recruiting all event volunteers (350 for event day, as well as additional for activations and tasks in the lead up)
• Communicating with volunteers and gathering relevant information.
• Preparing briefing notes, including Health and Safety management for the volunteers.
• Creating volunteer and staff specific run sheets.
• Creating volunteer and staff specific accreditation.
• Project management and presentation of volunteer events (briefings and thank you function/s).
• Management of bib packing days where volunteers are required, as well as race pack collection days.

Assist the Event Director with the overall operations and logistics on the day of Round the Bays including:
• Manage the setup of the Volunteer/Staff HQ and check in for volunteers.
• Assist the Kilbirnie Park Manager with the set up and management of Kilbirnie Park.
• Coordinate the delivery of the volunteer lunches, t-shirts and other resources incl. radios.
• Manage Volunteer Headquarters.
• Empower volunteers to make on the day decisions as necessary.
• Coordinate the volunteer staffing resource reactively and pro-actively as required.

Assist the Event Director in evaluating and reporting on volunteer management post event.

Some previous event and/or volunteer management experience preferred. As well as the following essential/preferred skills:
• Excellent communication (listening, verbal and written) skills
• Leadership and Management
• Qualification in (or studying towards) event management, sports management, marketing or a related field would be desirable
• Strategic Planning experience
• Ability to manage multiple priorities and team members
• Relationship Management
• Excellent computer skills
• Flexibility in hours of work
• Teamwork
• Professionalism
• Excellent time management

Marketing Coordinator – Events:

An excellent opportunity to join the Sport Wellington Events team who look after the management of Cigna Round the Bays 2018.

This role is responsible for providing the events team with marketing support and delivery in preparation for, and during, Cigna Round the Bays 2018.

Key Tasks

• Assist the Sport Wellington Marketing & Communications Advisor with administration tasks and project management for Cigna Round the Bays 2018
• Coordinate and manage the social media platforms for the event, including content writing and design
• Coordinate and manage the event app, including content writing and design
• Manage all signage design and creation for event day
• Assist the events team with the overall operations and logistics on the day of Cigna Round the Bays 2018
• Other tasks as required by the Event Director

This is an awesome opportunity to gain some hands on event experience as part of an energetic, high performing team.

Some previous event marketing experience preferred. As well as the following essential/preferred skills:
• Social Media management experience
• Excellent computer skills
• Competent user of InDesign, Photoshop or alternative
• Excellent written skills and experience with the publication of informative communications
• Experience or ability to problem solve across multiple team requirements
• Excellent presentation skills, time management and professionalism.
• Excellent Customer Service Skills
• Ability to work varying hours, times and days, including weekends and evenings
• A qualification in (or studying towards) event management, sport management, marketing, or a related field would be desirable
